Many mobile notaries meet clients in unique locations, but those clients might also have some unique decor that can override form over function. Not only are the notaries on the go, but many clients are as well, and appointments are scheduled between work and family commitments. Signings are taking place in homes, offices, hospital rooms, hotel lobbies, parks, restaurants, and other venues.
There are many tools and tricks a professional mobile notary public can use that not only help the signing appointment go as smoothly as possible but also show the client that you respect their choice of signing location, providing the best customer service possible.

The best mobile notary services their community in adherence to state regulations, but they also have tools that ensure the appearance of signatures and documents is superior. Not every signing location has a smooth, flat top table that allows signers and notaries to produce flawless signatures and stamp impressions. Many tables made from natural materials will have natural imperfections in the finish that could cause a bump or jump in a signature, or, worse, an incomplete notary seal impression.
So here are some tips for items to have on hand to make any table ready for the signing appointment. Don’t be afraid to direct a client to the best signing table available if there’s a choice of several at the location. Start with a clean slate – literally. Having some cleaning wipes on hand will ensure a clean surface. Is your signing table porous or made of a soft material? To avoid possible holes in your paperwork or pen marks on the tabletop, you can use sturdy cardboard sheets, one for each signer. Plastic or metal clipboards can also work well for outdoor use, especially when a table might be specifically designed to withstand the weather.
No tables available at the location whatsoever? One suggestion is to have at least 1 small folding table available for these unique situations. But in a pinch, those clipboards can do the trick, providing a sturdy signing surface and keeping documents secure. Documents should be transported in paper or plastic envelopes to ensure they are not creased or torn.

You don’t see many mobile notaries who would arrive at a signing appointment carrying only their journal and stamp. Having access to other important tools helps maintain professionalism when you expect the unexpected. Making clients feel comfortable and confident during their signing appointment can also make a world of difference in expanding the notary’s clientele. When a client sees a notary take the time to protect their furniture and important documents as well, the mutual respect can open the door to further signing opportunities with that client. And when the client shares their experience of working with such a prepared and resourceful notary, other potential clients are sure to make that notary their preferred contact for signings.
